How to Spot a Phishing Email: A 30-Second Check for Your Team

A simple five-point check your employees can use to spot phishing emails before they click, plus what to do if someone already did. From Simplistic IT in Lewisville, TX.

Why phishing still works

Phishing emails are designed to look routine: an invoice, a shared file, a password reset or a quick request from the boss. They work because busy people act fast. For small businesses in Dallas–Fort Worth, one click can lead to a stolen email account, a fraudulent wire transfer or ransomware.

Filters catch most phishing, but not all of it. Your team is the last line of defense, and a short habit goes a long way.

The 30-second check

Before you click a link, open an attachment or reply with information, ask:

  • Who really sent this? Look at the full email address, not just the display name. Watch for small misspellings of familiar domains.
  • Is it pushing me to hurry? “Urgent,” “final notice” and “within the hour” are pressure tactics.
  • Is it asking for money, gift cards, passwords or a change to payment details? Those requests always deserve a second check.
  • Where does the link go? Hover over it (or press and hold on a phone) to see the real address before you tap.
  • Does this make sense? An unexpected invoice, a delivery you didn’t order or a shared file from someone you don’t work with is a red flag.

Verify the safe way

If a message seems off, don’t reply to it and don’t use the phone number or link inside it. Call the person or company using a number you already have, or type the website address yourself. This one step stops most payment-change and invoice scams.

What to do if someone already clicked

Speed matters more than blame. Tell your IT provider right away, change the password for the affected account from a different device, and watch for unusual sign-ins or forwarding rules. The sooner it is reported, the easier it is to contain.

Simplistic IT clients get email filtering, multi-factor authentication and security awareness training as part of every managed plan, so a single click is far less likely to become a breach. If you want to know how exposed your team is today, ask us for a free IT and security assessment.
